Terms & Conditions

Membership & facilities Terms And Conditions
Membership will commence from date of payment. It is the responsibility of each member to renew their membership, this can be done online, via the Clubright App, setting up a recurring payment (SO) with your bank, or at reception. A reminder will be emailed to you shortly before your membership expires.
  • Gold family membership is classified as applicable to two adults and up to two children under the age of 16.
  • Gold couple and family membership are only available to those living in the same household and cannot be extended to friends or family outside of the lead person's main address.
  • Classes and courts need to be booked in advance, to guarantee availability, please don’t forget to check in on arrival.
  • You do not need to pre book gym sessions (other than youth gym), but please remember to check in on arrival. Due to limited availability in Youth Gym sessions, we ask that if your child is unable to attend that they cancel their slot to enable another child to book on. If your child fails to attend a booking twice within a 28-day period they will not be permitted to book another session for a one-week period.
  • Gym members are not required to carry out an induction for the gym, however, if you would like one (recommended), please let us know and we will arrange this with you.
  • The shower and changing facilities at Debenham Sports and Leisure are available for members and paying customers of our classes and courts only.
  • Debenham Sports and Leisure Gym is for the use of over 16's only, the exceptions are: 1) Youth Gym (11-16 yrs) members can access the gym during term time in the allocated 'youth gym session' times, (subject to availability, this must be pre booked) 2) With a parent / guardian gym member over the age of 21.
  • The Sauna facility is available for 16yrs and above only.
  • Fitness classes, courts, day gym passes, and room hire are all available to non-members that hold an account with DS&L. Please book online, via the Clubright app or at reception. Please don’t forget to check in on arrival.
  • We regularly review our fitness timetable to keep classes fresh and aligned with member needs. Class times and instructors may change occasionally.
  • Bookings for classes can be made up to 8 days in advance, please be aware that staff cannot take bookings any earlier than this.
  • A 'junior court' applies if one or more players is under 16. For over 16’s adult fees apply.

Prices
  • We reserve the right to review, amend and increase membership fees and benefits annually at our discretion.

Cancellations
  • A cancellation should be made at least 4 hours in advance of a class or court hire start time. If a cancellation is made after this time, no refund will be given or credited to your account. This cancellation excludes privately run sessions by external instructors, who may have their own cancellation policies. Please check with individual instructor or reception.
  • A cancellation by a gold member should be made at least 4 hours in advance of a class or court hire start time. If a cancellation is made after this time or the member does not show, it will be recorded on their personal profile.  After 3 cancellations or non-attendances in a 28-day period you will not be able to book onto classes for 7 days.

 Events
  • We are unable to process refunds for events which proceed, but that you are no longer able to attend.  

Liability
  • Debenham Sports and Leisure and their instructors assume no liability for persons who undertake physical activity. Anyone in any doubt should consult their GP.     
  • Debenham Sports and Leisure holds no liability for loss or damage to any personal items or valuables on their premises, including the car parking.
  • Debenham Sports and Leisure cannot be held responsible for any service or facility being unavailable for reasons outside of our control.

Communication & data protection
  • You are required to inform Debenham Sports and Leisure of any change of address, email address, telephone numbers or any other method of communication. Email will be the preferred method of communication, and all correspondence will be assumed to have been read five days after the email has been sent to the last address notified.
  • By providing an email address, you consent to receiving email communication. You also accept that email may not be a secure and confidential means of communication. Debenham Sports and Leisure will not be liable for any loss or damage suffered as a result of communicating with you by email.
  • By providing a mobile telephone number you consent to receiving text communication. You also accept that texts may not be a secure and confidential means of communication. Debenham Sports and Leisure will not be liable for any loss or damage suffered as a result of communicating with you by text message.
  • You may be contacted via social media accounts. if this is a method you have used to contact Debenham Sports & Leisure.
  • Privacy and data protection; Debenham Sports and Leisure takes the protection of your data seriously. All records are retained on computerised systems.
  • Your personal data will only be used by Debenham Sports and Leisure employees in accordance with the Data Protection Act 2018. The Centre will not supply information from the database to any third-party organisation or individual except to the extent permitted by the Data Protection Act 2018 and which is required or permitted by law in carrying out its proper function.
  • By agreeing to have your personal data held on the Debenham Sports and Leisure database, you are expressly consenting to Debenham Sports and Leisure processing the data for proper purposes as pursuant to the Data Protection Act 2018. · If you have any questions or wish to alter the methods used to communicate with you, please contact us by email at [email protected]  or call us on 01728 861101.
  • Under the Data Protection Act 2018 you can request access to your personal data using our subject access form which is available on request.
  • We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under these terms that is caused by any event that is outside of our reasonable control.
  • Debenham Sports and Leisure reserves the right to take photographs within the facilities (which may include you, provided your inclusion is accidental) for press and promotional purposes provided the Centre gives reasonable notice.
  • You may not take unauthorised photos or videos anywhere in the club and, in particular, during youth gym sessions and understand that the club use unmonitored video surveillance which may be retained by the club for future use.
  • All personal data will be stored on 'Clubright', our online booking system.
 
EXERCISING SAFELY
1.Unsupervised Exercise
Our gym operates on a self-service basis. Unless stated otherwise, exercise within our gym is unsupervised. You acknowledge and agree that you use the gym facilities, machines, and equipment entirely at your own risk.
You are responsible for taking all reasonable steps within your control to use the gym safely and to avoid injury to yourself and others.

2. Responsibility for Your Fitness and Health
You are solely responsible for determining whether you are physically and medically fit to undertake unsupervised exercise. This includes taking into account your:
  • Current and past health conditions
  • Injuries or illnesses (including recent illness or surgery)
  • Fitness level and strength
  • Any disabilities or medical concerns
  • Experience and familiarity with gym environments, machines, and equipment
If you are in any doubt about your ability to exercise safely, you must seek advice from a suitably qualified medical professional before using our facilities.
If your health, strength, or fitness changes at any time (including due to illness, injury, pregnancy, or a new or worsened medical condition), it is your responsibility to reassess whether it is safe for you to continue exercising.
Our staff are not authorised to provide medical advice or assess your medical fitness to exercise. You must not rely on any statements made by staff in relation to your medical capability to exercise.
  
3. Exercise Within Your Limits
You must exercise within your personal capabilities and limits at all times. You agree not to attempt exercises, lifts, or activities beyond your level of competence or physical ability. If you are unsure whether a particular activity is suitable for you, you must seek medical advice before attempting it.
4. Use of Gym Machines and Equipment
Our gym contains a wide range of machines, free weights, and other equipment that may cause injury if used incorrectly.
  • Many machines include operating instructions, which you must read and understand before use.
  • You must use all equipment strictly in accordance with its intended purpose and any displayed instructions.
  • Where equipment does not display instructions, you must only use it if you are confident, based on prior experience or training, that you know how to use it safely.
  • If you are unsure how to use any equipment safely, you must seek assistance from a qualified member of staff before use.
You must not misuse, modify, or use equipment for any purpose other than its intended function.

5. Inductions
We may offer gym inductions to demonstrate how to use certain machines and equipment. However:
  • Inductions are not mandatory.
  • Inductions may not cover all equipment available in the gym.
  • It is your responsibility to decide whether to participate in an induction.
  • Participation in (or absence of) an induction does not reduce your responsibilities under these Terms or increase ours. 
6. Compliance with Gym Rules
You must comply at all times with our Gym Rules, which form part of these Terms and Conditions. Failure to comply may result in suspension or termination of your membership.
7. Emergency Procedures and Safety Equipment
You must familiarise yourself with the location of:
  • Emergency exits
  • Emergency help points
  • First aid stations
  • Safety equipment
8. Slip and Trip Hazards
You must exercise care to avoid slip and trip hazards, including but not limited to:
  • Loose weights
  • Unattended personal belongings
  • Spilt liquids
You should immediately report any hazards to staff or via the emergency help points.
9. If You Feel Unwell or Are Injured
If you feel unwell, are injured, or are concerned for your safety or wellbeing:
  • You should immediately stop exercising and seek assistance.
  • If a member of staff is present, notify them.
We operate remote CCTV monitoring 24 hours a day (excluding changing rooms), and our team may contact on-call staff or emergency services where necessary.
 
 
10. Reporting Accidents
You must report any accident, injury, or incident occurring at our gym, during classes, or when using any of the facilities here at Debenham Sports and Leisure, as soon as reasonably practicable by:
  • Notifying a member of staff; or
  • Contacting our Member Services team at [email protected]
Prompt reporting helps us maintain a safe environment for all members.
