Reception

Daily Procedures For All Shifts
  • You must arrive on time for your shift, unless you have been advised otherwise.
  • Check float and place in the Till.
  • Check Communications Book for any actions left from the previous night.
  • All Customer areas are to be checked for cleanliness and all bins emptied. If a thorough clean is needed this is to be identified to Barrie, who will undertake the necessary work.
  • Check all toilet areas for adequate paper in both cubicles and the hand towell holders. Replace as necessary.
  • Check which activities are taking place on the date day and ensure that the room is ready and where tea/coffee is required prepare ready for the end of the activity. Clear away on completion.
  • Check emails and action as necessary.
  • Periodically walk round the Centre to ensure it remains clean and safe taking appropriate action where necessary.
  • Keep Reception area tidy and file information as necessary.
  • On shift changeover ensure that whoever is taking over is aware of any outstanding tasks.
Afternoon / Late Shift
  • Check Vending Machines and where necessary fill them up.
  • Ensure that all electronic booking systems are up to date and are synchronised with the hard copies.
  • Check Literature Rack to ensure there are copies of our Brochure available and keep it tidy.
  • Make sure Lounge Bar are is clean and tidy including all tables being clean (both inside and outside).
  • Working with the Bar Staff make joint decisions on asking groups or individuals to leave on the basis they are not purchasing any drink or food.
  • When activities have finished, rooms are to bee secured and lights turned off. sometime activities go beyond your finish time and therefore a message needs to be passed on to whoever is locking up. This ccan be done through the communications book or left with the bar Staff.
  • If any facility is not in use, please make sure you switch off the lights and store equipment back where it belongs.
  • At the end of your shift you must leave the office tidy and pass on relevant information/messages to other members of Staff, either face to face or by leaving the message in the Communications Book.
  • All Customer activities must be booked in using the booking folders in Reception.
Weekend Shifts
  • On Saturdays and Sundays, the Reception Staff are responsible for the running of the Centre. this means that you need to remain vigilant. Unauthorised use of the Tennis Courts or MUGA is not allowed, therefore both need to be secured when not in use.
  • When your shift is complete on the weekend and no activity is taking place you are to ensure that the double doors through to the toilets are locked and that the Indian Restaurant are reminded that under no circumstances are people allowed through unless purchasing food from them. Any member of the public not purchasing food from the Indian Restaurant should be politely asked to leave.
General
  • You should always be of tidy appearance, wearing DS&L T-shirt when on Reception duty.
  • Your main aim is to help the Customer in any way you can.
  • You must always be polite.
  • Always answer the phone promptly, with "Good Morning/Afternoon/Evening, Debenham Sports & Leisure, How can I help you?"
  • When you are on Reception duty you may be asked to carry out tasks that take you away from the Reception Office - please use a suitable sign in the Reception Window, so Customers know where to find you.
  • If you leave the Reception Office please take with you the two portables phones and lock the Office door.
  • If you are on duty at a time which is not busy you should look for tasks to do, i.e. clearing away Badminton nets, sweeping Sports Hall or Squash Courts, tidy office.
  • You must not use the internet access for personal use, do homework or watch TV etc.
  • You must never allow people to play in the Sports Hall free of charge - if the Sports Hall is not in use, turn off the lights and lock main doors.
  • Do not allow children to congregate in the Foyer, Car Park or MUGA.
  • Lock Tennis Courts and MUGA, when not in use.
  • Any concerns that you may have with undertaking these tasks, please speak to Lauren or Rachel and they will endeavour to assist you in completing them.

Daily Procedures Reception
The following tasks are to be completed on a daily basis:

Check Till /  Card handset is charged and  ready for use.
 
Check communication book for any actions left from the previous night.

Periodically walk around the Centre to ensure it remains clean and safe taking appropriate action where necessary.

Clear tables, wash up cups and put away on completion.
 
Check info emails on the main Reception PC and action where necessary.
 
Keep reception area tidy and file information as necessary.
