IntroductionThis procedure is for the benefit of Leisure Centre staff to help in the running and upkeep of the Fitness Studio. It outlines the day to day running, and on-going maintenance of the Fitness Studio and the equipment contained within it. It is the responsibility of the Leisure Centre Manager to ensure all reception staff are aware of these procedures and that they are duly implemented. The Fitness Studio is for use only by users having the following membership types:
Gold Card
Silver Card
Pay-as-you-go
As access to the Fitness Studio can only be gained via a proximity card, each user must first register with reception and exchange their membership card for a proximity card. Ideally, before handing over the proximity card, staff should ensure that the membership card is valid. (It should have the correct colour sticker on the card, and the membership number on the database should show a status of ‘CURRENT'.) On leaving the Leisure Centre, the user should hand in the proximity card in return for their membership card. Currently there is no limit on the number of people who can use the Fitness Studio at the same time. If overcrowding becomes a problem, peak time sessions will be defined and a booking system introduced. Other DocumentsThis document refers to other information contained in manuals provided by the various suppliers and should be on-hand for reference whilst reading these procedures. General StateThe Fitness Studio should be professionally cleaned at least once a day. The cleaners should be briefed to ensure they do not use chemicals and/or abrasives that may cause damage to any item of Fitness Studio equipment, flooring or paintwork etc. It should be kept in a clean and tidy state at all times, with the floors kept clear of water cups and users bags. No papers of any sort should be stuck to walls, doors, windows, mirrors etc. Any notices should be placed on the notice board and authorised by the Leisure Centre Manager / Fitness Studio Instructor. Unauthorised notices should be removed immediately. Exercise EquipmentThis equipment includes the Woodway, SCIFIT and Concept machines and all the Reebok resistance machines and free weights. The Fitness Studio Instructor should have read all the relevant documentation referring to the equipment prior to using it (ReFitness Studio. 1, 2 & 4). The equipment was installed by Equus on 13th September, 2002. GeneralIt is the responsibility of the Fitness Studio Instructor to ensure that all equipment and machines within the confines of the Fitness Studio are adequately maintained and that the relevant certificate is obtained from Equus. Any problems with the equipment should be reported to Equus immediately in accordance with the maintenance procedure - see Contacts section. All problems must also be recorded in the Issues log (Excel spreadsheet). The Woodway treadmills are the only machines which have a power connection, and should be switched off each night, as the motor remains in motion whilst the power is on. ProcedureAll users to the gym must have completed an induction before using the gym. There are no provisions for allowing ‘guests' to use the Fitness Studio. All rules and regulations should be made clear at induction time. Heart Rate Transmitter StrapsThere are 2 heart rate transmitter straps, which are kept under the control of the Fitness Studio instructor, and allocated only on personal programme sessions. A heart rate transmitter strap must never be used by anyone who has a heart pacemaker. (see Ref.1, section 4.1). MaintenanceMaintenance falls into 2 categories:
That carried out by Debenham Leisure Centre staff on a regular basis in accordance with the manufacturers instructions - see relevant sections in ReFitness Studio. 1, 2 & 4.
That carried out by Equus on an annual basis (in September each year).
All the equipment is maintained by Equus (see Contacts section). It is the duty of the Fitness Instructor to ensure that Equus maintenance is carried out at the appropriate time and that the relevant certificate is obtained from Equus. LockersAlthough the lockers are available for all Leisure Centre users, they are primarily there for users of the Fitness Studio, who should have priority. The lockers are numbered 1-20 and are operated by a returnable £1 coin. There is a spare key for each locker, which should be kept in reception. All lockers should be empty at close of business each day. ProcedureA locker user will insert a £1 coin in the door lock, close the door and retain the key. On return, when the key is inserted and the door opened, the coin will be returned. If it is found that lockers are not vacated at end of the day, a warning sign should be posted on the particular locker door to warn that contents will be removed (using a master key) and withheld until the key is returned. Such incidents should be recorded in the Issues log. There are 2 master keys, which should always be under the control of Leisure Centre MaintenanceThere is no maintenance agreement for the lockers. They should be maintained by the Leisure Centre in accordance with the manufacturer's instructions (see Ref. 5). Filter Water MachineThe water machine is connected to the mains water supply, and is rented from Aqualicious at a monthly rate of £?? (Sept. 2002) over an initial contract period of 36 months. Thereafter, the contract is automatically renewed for a further 12 months. Monthly payment should be made by Direct Debit. ??? ProcedureThe water machine needs a permanent mains water supply and 13 amp electrical input. It should remain switched on all the time, as the water is constantly cooled. Users should be encouraged to dispose of used cups in the waste bin. MaintenanceThe machine is checked monthly by Aqualicious, when it will be sanitised. Every 4 months the filter is replaced. There is a copy of the maintenance contract and Terms and Conditions in the Fitness Studio binder. There is no maintenance needed by the DLC. Air Conditioning UnitsThe air conditioning system consists of 2 indoor units, each with an outdoor unit, mounted externally on the Fitness Studio wall. Before using the a/c units, read the manufacturer's instructions (Ref.3). The units can be used for heating as well as cooling. In order to save running costs, they should only be used when deemed necessary by Leisure Centre staff. ProcedureThe units should only be operated by Leisure Centre staff, in accordance with the manufacturer's instructions, which are filed in the Fitness Studio binder (see Ref.3). The units are set either by the controls on the outer casing or by the remote controls. The remote controls should not be left around in the Fitness Studio so that users can interfere with the settings. MaintenanceThis should be carried out in accordance with the Care and Maintenance instructions - see Ref. 3, page 17. AccessAccess to the Fitness Studio should only be by the proximity card access system, which should always be active, except in exceptional circumstances authorised by the Leisure Centre manager. The access system is confined to the Fitness Studio door (i.e. it is not connected to any other computer/control system) and is operated by magnetic (proximity) cards. ProcedureTo open the door, the card is held adjacent to the sensor, which will trigger the lock; the door can then be opened using the handle as with a normal door. Users should not be allowed to ‘tailgate' and periodic checks should be made to ensure only those people are using the Fitness Studio who have registered and lodged their membership card with reception. On exit, the switch on the inside can open the door. Apart from exceptional circumstances, the Fitness Studio door should never be propped open to avoid using the security system. The access system can be de-activated by Leisure Centre staff by placing a card in the slot underneath the break-glass case. In the event of an ongoing power failure … MaintenanceIn the case of faults / problems call Management Security Systems on 01473 835866. TV'sAll TV's in the Fitness Studio are connected to the same Sky satellite signal, which is completely independent of the installation in the Deben Lounge. The Sky contract number is: The monthly subscription is paid by Direct Debit …. ? The TV's should only be switched to the MTV channel and the volume set by Leisure Centre staff. Fitness Studio users should not be allowed to interfere with any controls. The satellite system was installed by Satvision - see Contacts section.
